This Refund Policy sets out how AeroXpense handles cancellation of paid subscriptions, unused prepaid subscription time and related billing enquiries. It applies to monthly and annual subscriptions unless a separately executed agreement expressly provides different commercial terms. Our policy is to refund the unused portion of the current subscription billing period on a daily pro-rata basis, subject to the distinctions below between subscription fees, consumed services and outstanding balances. This policy does not limit any refund or consumer protection right that cannot be excluded under applicable law.
1. Billing periods and scope
Subscriptions are generally billed in advance for the monthly or annual interval selected by the Operator. The current billing period is the period covered by the subscription payment for which cancellation is requested, rather than an assumed calendar month or financial year. The applicable invoice, subscription confirmation or written agreement identifies the charges against which a refund can be assessed.
A complimentary account, unpaid trial, promotional credit or subscription period for which no money was collected does not create a cash refund entitlement. Where a payment covers multiple items, we distinguish the subscription element from any separately agreed setup, professional service or usage-based charge. The purpose of this distinction is to return unused prepaid subscription value without reversing services that have already been delivered or consumed.
2. Submitting a cancellation request
An authorised company administrator may cancel through the available plan or billing controls in the application or contact hi@sidd.hu from the administrator’s account email address. If access to that email or the workspace is unavailable, contact us and explain the circumstances so that authority can be verified through an appropriate alternative. Do not send passwords or full payment card details as proof of account ownership.
To help us locate the subscription, provide the company name, the relevant account identifier or invoice reference, and the date on which cancellation was requested. We will confirm the cancellation and the effective date used for the calculation in writing. A cancellation action in the payment system may stop future renewal without automatically issuing a refund; customers should contact us to confirm the unused-time calculation and processing.
3. Daily pro-rata calculation
The refundable subscription amount is calculated by taking the subscription fee actually paid for the current billing period and applying the proportion represented by its unused days. In practical terms, the calculation is the paid subscription fee multiplied by the number of unused days, divided by the total number of days in that billing period. Discounts already applied to the payment remain reflected in the calculation; the refund is not recalculated against a higher undiscounted list price.
For an annual subscription, the calculation uses the unused portion of the paid annual period rather than assuming that the entire annual fee is non-refundable. We will provide the relevant dates and calculation in the written confirmation. Any adjustment involving taxes, credits or invoice balances will be identified separately where applicable so that the Operator can reconcile the refund with its own accounting records.
4. Non-refundable services and consumed charges
One-time setup fees, professional-services fees and usage-based add-ons already consumed during the period are non-refundable under this policy. These exclusions apply to the distinct service or usage charge and do not remove the daily pro-rata treatment of unused subscription time. A written agreement or mandatory legal right may provide a different remedy for a particular charge.
If the Operator believes a charge was duplicated, applied in error or collected without an applicable authorisation, it should identify the invoice and explain the concern. A billing error is reviewed on its own facts and is not treated solely as a change-of-mind cancellation. No refund can exceed the amount actually collected for the charge concerned.
5. Refund method and processing time
Eligible refunds are issued to the original payment method within ten business days of the cancellation request. Where the request lacks information needed to identify the payment or verify authority, we will explain what is missing so that it can be resolved. Refund processing requires identification of the eligible charge; the display of a cancelled subscription alone should not be treated as proof that a payment reversal has been completed.
The payment provider or receiving bank may take additional time to show an issued refund on the account statement. That posting time is separate from the time at which AeroXpense issues the refund. We do not request bank login credentials to arrange a refund and will not redirect a refund to an unrelated person or payment method merely on an unverified email instruction.
6. Invoice payments and outstanding balances
Where the Operator paid by invoice or wire transfer and has an outstanding balance, the eligible pro-rated credit is first applied against that balance. We will describe the adjustment in writing so the Operator can distinguish a credit against money owed from a cash amount being returned. Any remaining refundable amount is handled using an appropriate verified payment arrangement.
Currency conversion and bank posting can affect the amount displayed in the Operator’s account currency. The underlying refund is assessed against the original subscription payment and its billing currency. If an invoice or credit document is required for internal records, request it with the refund enquiry.
7. Plan changes and access to records
A plan change and a cancellation are not necessarily the same action. A downgrade may alter future functionality, including AI processing and Plaid connectivity, without ending the current company workspace. Any commercial adjustment should be confirmed against the actual subscription change rather than assumed from the new plan label.
Before ending access, the Operator should download the reports and financial records it needs for its own retention obligations. Cancellation does not itself constitute an instruction to delete every company record or disconnect every external provider. Requests concerning export, integration disconnection or deletion are handled in accordance with the Privacy Policy and the Operator’s authorised instructions.
8. Disputes and contact
Please contact hi@sidd.hu if the refund calculation, cancellation date or payment status appears incorrect. Include the company name and invoice reference where available, together with a clear description of the issue. We will review the relevant records and explain the outcome. Contacting us first may resolve an issue more efficiently, but this request does not remove a lawful right to dispute a payment with a bank or payment provider.
Where a chargeback or payment reversal is already in progress, tell us so that the same payment is not refunded twice. We may need to coordinate the resolution with the payment provider. Questions about this policy or a written commercial exception should be raised before purchase or renewal so that the applicable arrangement can be recorded clearly.
